Booking Procedure and Terms
  1. Ensure that you have read all the relevant information especially those on Insurance, Risk and Safety, Being Prepared, and this section which includes our Cancellation Policy and Booking Procedure.

  2. Choose the activities or tours that you wish to participate in.

  3. Decide on the dates that you are available and possibly some alternative dates. During busy periods and for larger groups you may wish to call us first with your preferred date/s to check availability in principal and place a provisional booking.

  4. Provisional bookings can only be held for 10 days; however we will contact you if we receive another enquiry for the same date/s before we give up your booking.

  5. For groups, please ensure all other participants involved also have access to the relevant information for the activity/tour that has been selected.

  6. Complete the relevant Enquiry/Booking Form pages and forward them to us either by email/fax/post (address details listed to us on Contact Us page)

  7. Accommodation -
    Accommodation arranged on the tours will in either two or four bunk rooms shared on a same sex basis unless groups or people give us requests for specific sleeping arrangements. Requests for single rooms shall be met where possible and these may incur a surcharge payable by the customer, although in some circumstances there is not always this option, and this shall be advised when booking.
     
  8. Costs and Payments
    The cost of each Tour/Activity is listed on the respective Tour/Activity pages.
    1. Provisional Bookings
      Provisional bookings may be made for any of our multi-day tours and group bookings, these can be held for up to a maximum of 10 days at which point a deposit of full payment  (depending on departure date from time of booking) must be recieved to change this to a permanent booking. If no confirmation or monies are received within this time we shall contact you on the 8th day to check for an update on this booking before reopening up the dates for other clients.
    2. Multi-Activity Days
      Due to the smaller cost and nature of our multi-activity days full payment of these is required at the time of booking.  Once payment has been received full activity/itinerary details will then be forwarded to you by email (or post if preferred) to confirm and finalise your booking.
      A 10% discount shall be offered for group booking of 6 people or more
    3. Multi-Day Tours
      Our multi-day tours may be booked with a non refundable 25% deposit per person if the booking is made more than 60 days before the departure date, after which the remaining balance shall be invoiced with full payment to be recieved by 60 days of your chosen tour taking place. If your enquiry/booking is less than 60 days from the date of departure of your selected tour then full payment must be taken for each participant at the time of booking.
      A 10% discount shall be offered for group booking of 6 people or more

  9. Payment Method
    Payment may be made by Cheque, Credit/Debit card (this incurs a 1.5% charge) or Electronic Bank Transfer. Cheque payments should be sent to our office address shown on the Contact Us page, with cheques made payable to Scotland Discovered. Under normal posting circumstances please allow at least 7 days from the date of posting for cheque payments to be recieved and processed by ourselves and the bank.
    Credit/Debit card payments can be made online or over the phone through our Booking Line, details of which can be found on the Contact Us page.
     
  10. Cancellation Policy
    Any cancellation must be notified to us in writing by the person who made the booking. We appreciate that unforseen circumstances do arise resulting in cancellation and therefore advise you to take out appropriate travel insurance to cover cancellation or curtailment costs payable and to compensate you for your loss.
    1. Cancellations by Us
      This would be a very rare occurance and would only occur due to circumstance beyond our control upon which a full refund will be offered or a place on an alternative activity/tour on a different date.
    2. Cancellation by You
      If for any reason you have to cancel a confirmed booking we will make every effort to replace you on the activity/tour, if a replacement can be found before up to 4 weeks (30days) prior to your selected tour then a 25% cancellation charge will apply. If no replacement can be found then no refund shall be given and full activity/tour costs shall be retained by Scotland Discovered.
       
  11. Fitness Ability
    Our general activities are strenuous and are suitable for any person with a fairly basic level of fitness however the itineraries on the tour descriptions will give you a better idea of what is being expected of you. If you have any doubts of concerns about being involved in our activities/tours please feel free to discuss these with us prior to booking.
     
  12. Preparation and Equipment
    Please read our pages on Being Prepared and the tour itineraries you will find details of the type of clothing and equipment you will require. We also have a range of equipment available to hire e.g. rucksacks, sleeping bags etc. If you need clarification on any aspect of your enquiry please discuss this with us prior to booking.
     
  13. Complaints
    If you have any complaints regarding any aspect of your experience with Scotland Discovered please notify your tour leader at your earliest convenience, at which time and thereafter we will do everything reasonably possible to resolve the matter. If it is not resolved to your satisfaction please contact us in writing with all the details of your complaint and how it was handled. We value your comments positive and negative so that we may take steps to ensure that a similar complaint does not arise and we may improve our service in the future.
     
  14. Medical Conditions
    It is important to inform us of any medical conditions which may impair or give rise to impairment of your fitness or ability to maintain involvement in any activity/tour you may like to be involved in. Accuracy of information will allow us to make an assessment of any possible risks and advise you. Our tour leaders are First Aid trained and will do everything possible to improve on any situation encountered while we are outdoors however we would much prefer not to place our staff or participants at any unecessary risks or create situations which may detract from a safe enjoyable experience for all involved.
     
  15. Liability
    Scotland Discovered will accept liability for acts of negligence by its employees resulting in direct physical injury, we hold both public and employers liability insurance to the value of £5,000,000. Scotland Discovered can not accept any liability for circumstances arising from the following possibilities - loss of damage to your own personal luggage, clothing, equipment and any good purchased.
